Rental & Return Policy + Terms of Service

Effective as of Jan 1, 2025

By placing an order with Here for the Memories, you agree to the following terms covering our device rental, return conditions, shipping, refunds, video handling, and usage expectations.

📦 Shipping & Delivery

• Once you place your order, our team will contact you to confirm event details.
• We aim to deliver the device approximately 3 days prior to your event.
• Shipping to you is free and includes a prepaid return label.
• You are responsible for using the correct carrier and dropping off the return within the return window.

🔁 Returns & Late Fees

• The device must be returned within 3 days after your event ends.
• Use the included prepaid label and shipping box for returns.
• Late returns will incur the following charges:
  • $150 per day after the 3-day return window
  • An additional $500 penalty if the device is more than 7 days late
• If the device is not returned or is returned damaged or non-functional, a $1,000 replacement fee will be charged.

🔧 Damage & Responsibility

• You are fully responsible for the device while it is in your possession.
• This includes loss, theft, water damage, accidental breakage, or any other form of physical or functional damage.
• All late fees and damage charges will be billed automatically to the original payment method on file.

🎥 Video File Handling & Refunds

• We will begin editing your videos after we receive the returned device.
• Edited keepsakes are typically delivered within 3–4 weeks, though often sooner.
• If no videos are recoverable due to a technical issue on our end, we will issue a full refund.
• If only some videos are lost or corrupted, you are eligible for a 50% refund.

🔐 Data Privacy

• Videos are securely stored and only accessed by our editing team.
• Final videos are delivered to the customer who placed the order.
• All footage is deleted within 60 days of final delivery unless requested otherwise.

❌ Cancellations & Unused Devices

• All orders are final. We do not offer refunds for unused devices or cancellations.
• Once booked, the device is reserved for you and cannot be re-rented to another customer.

📍 U.S. Service Area

• We currently ship to addresses within the United States only.

🌩️ Force Majeure

• We are not liable for delays or inability to fulfill your rental due to events outside of our control.
• This includes but is not limited to: natural disasters, pandemics, shipping disruptions, labor shortages, or national emergencies.

✅ Agreement to Terms

• By completing your purchase, you confirm that you have read, understood, and agreed to this Rental & Return Policy + Terms of Service.
• You authorize Here for the Memories to charge your payment method on file for any late fees, damages, or non-returns as outlined above.
